Every exhibitor has seen it: the stand was busy, the scanner was full and the team came home buzzing. A month later, a surprising number of those leads have never received a real follow-up. They haven't been rejected. They've just never been touched.

It's rarely because anyone is lazy. Event leads fall through a gap between the show floor and the CRM that most processes simply don't cover.

Where event leads get stuck

  1. Nobody owns them. Marketing paid for the event, sales staffed the stand and the leads sit in a shared export that belongs to no one. A lead without an owner doesn't get called.

  2. The data isn't usable. Scanner exports arrive late, in the organiser's format, with missing emails and job titles. Someone has to clean them up before they can be imported, and that someone is busy.

  3. The context is gone. A name and a company don't tell you what you talked about. Without the conversation, reps don't know what to say, so the lead goes to the bottom of the pile.

  4. Everything looks equally important. Hot prospects and people who stopped for a free pen sit side by side in the same list. With no way to prioritise, the whole list gets treated as low priority.

  5. The day job comes back. After a few days out of the office, inboxes, meetings and existing deals take over. Follow-up keeps slipping to next week.

How to close the gap

  • Assign owners before the show. Decide who follows up which accounts, regions or lead types before anyone sets foot on the stand.

  • Capture context with the lead. Record notes or a voice memo against each scan, so the conversation travels with the contact.

  • Score on the spot. A simple hot, warm or cold rating made during the conversation tells you where to start.

  • Skip the spreadsheet. Get leads into your CRM during the event, not after it.

  • Make the first touch easy. If a draft follow-up is already waiting, it's far more likely to get sent.
